At Inizio Engage we are looking for a new talent to join our Head Office team in Las Tablas, Madrid.

✔️ What will be your responsibilities?

• Administrative support:
• Generate and execute the contract with the HCP (each a “Transaction”) using the company´s templates.
• Issue supplier forms for the HCPs to complete.
• Manage invoices and request approval from the company to complete each Transaction.
• Collect and review associated expenses (travel, accommodation, etc.) from HCPs.
• Create POs and maintain records of transfer of value for reporting purposes.

• KOL Management:
• Oversee administrative follow-up and contract management for collaborations with KOLs (e.g. doctors, health experts, medical influencers).
• Prepare, review, and coordinate the contract signature process with internal teams.
• Maintain and update the KOL database (contacts, project status, ongoing collaborations).
• Act as a liaison between internal departments (medical, regulatory, finance).
• Event Coordination:
• Support the organization of medical and marketing events (e.g. congresses, symposia, roundtables, product launches, webinars).
• Manage event logistics (registrations, travel arrangements, materials).
• Monitor event budgets and prepare post-event reports.
• Assist with internal team seminar organization.

🔍 What are we looking for?

• Previous experience in administrative project management or event coordination, ideally in the health or pharmaceutical sector.
• University degree in Health Sciences, Business Administration, Marketing or realted field.
• High level of English (minimum C1), essential for communication with international stakeholders.
• Excellent organizational skills and attention to detail.
• Ability to manage multiple tasks simultaneously, maintaining high quality and meeting deadlines.
• Proactive mindset, strong communication skills, and a team-oriented attitude.
• Availability for immediate start.
